The Orders form is used to enter orders from your shows. 

 

 Note: Be careful to use the proper date as reports generated for Order Consolidation and Inventory Check rely on accurate data entry in the Orders section of the program.

  • Automatically updates the Show Information table with the Wholesale and Retail totals for the show when exiting the Orders form.

How to Use This Form

 

 

 

To Make a Show Active:

  • Use the drop-down menu on the Main Switchboard or Show Information form to choose which show you want to be active to place orders against.
  • OR, create a new Show definition using the Show Information form and that new Show Definition is the Active Show.

 

Place Orders on the Active Show:

  • Enter the Item Number and Quantity and the Price and Description are filled in automatically.

* NOTE: Price and Description can be changed without changing the price listed in the Products database.  This allows for sales prices and accurate rollup of sales on products sold at a discount.

  • BE SURE THE ORDER DATE IS CORRECT!

  • If you want to utilize the Order Summary Sheet, which summarizes orders in terms of items sold at full retail price and those sold at discounts, check an appropriate box or boxes to the right of the item ordered. 

  • BB indicates a Bonus Buy

  • D indicates Discounted Merchandise

  • BG indicates Bonus Gift

  • FM indicates Free Merchandise

Warning: If you do not plan to use the Order Summary Sheet, this is an extra step that will not yield any value.

 Overview of the Order Process:

Orders are placed against the Active Show.  Follow the steps below to ensure the proper execution of placing orders in the database.

 

  1. Add names into the database using the "Guest Info" button on the Main Switchboard.  Include all guests names invited to the show and the Hostesses name.

  2. Create a new Show Definition using the Hostesses name and an accurate Show Date.  The Show Date must be accurate because it is used when creating the Business Activity Report.  The date range entered when creating the Business Activity Report includes all shows that fall within that range.

  3. When you create a new show definition that show IS ACTIVE.  All orders entered are placed against the active show.  To make a different show active, choose it from the drop down menu on the Main Switchboard or on the Show Information form.

  4. Add orders using the Orders button located on the Main Switchboard.  When adding orders, be sure the Order Date is accurate as it is used when running the Order Consolidation w/ Inventory Check.  The date range entered when completing the Order Consolidation w/ Inventory Check includes all orders that fall within the date range you enter.

 

FYI: After orders are placed and the Orders form is exited the wholesale and retail totals are updated in the Show Information form.  These values can be overwritten manually using the Show Information form itself and simply typing over the existing information or by using the Business Activity Report Adjustments form which opens right before a Business Activity Report is created.

Creating the Next Order in the Show:

  • To move to the next order in the show, simply click the Next Order > button in the middle section of the form.  If a guest name is not filled in, the program automatically generates a default name before going on to the next order.
  • BE SURE THE ORDER DATE IS CORRECT!

NOTE: You cannot enter the same item twice on the same order.

The Update Button:

  • The Update button will automatically update the current wholesale and retail sales numbers for the show and send those values to the Show Information form of the program.

The Show Orders Button:

  • Use the Show Orders button to create a report on the orders of the current active show.
